Making Manual Payments

To make a manual payment you make an entry in the payments screen. You specify the supplier details (where applicable), the amount, and any discount (if applicable). You may then process the payment immediately and allocate it later, or you can continue and allocate the payment before processing.

To allocate a Supplier Payment against transactions you can either enter the transaction type, code and amount by hand or use the transaction list to select transactions. When a transaction is loaded to a payment the amount to be allocated is preset as follows.

If the transaction outstanding balance is less than the payment unallocated balance:

Allocation=Transaction outstanding balanceAllocation = Transaction\ outstanding\ balance

Otherwise:

Allocation=Payment unallocated balanceAllocation = Payment\ unallocated\ balance

Note: In either case the allocated amount will not exceed the released amount where the transaction involved is an invoice.

This method of payment allocation is always available and may be used to edit both semi and fully automatic payments before they are allocated and processed.

Note. Once you have processed a payment allocation you cannot remove or alter it. If you are unsure about an allocation then remove it and process the rest of the document. You can still allocate to new transactions on a partially allocated payment even after those allocations have been processed.
